What every Australian Government employee needs to know about records management

Keep the Knowledge – Make a Record! is a package for trainers to help them teach Australian Government employees about their records management responsibilities. It explains what records are, what kinds of records employees should make and keep, and when they can access and dispose of records. Our aim is to help agencies and their employees create and manage records in a systematic way, for now and for the future.

The training package consists of material for trainers to use when hosting a training session, and material for Australian Government employees to keep for future reference:

  • evaluation form
  • illustrated booklet
  • ready reference card

The training package is available to all Australian Government agencies. These webpages will introduce you to all components of the package.

PowerPoint slideshow

Like the presenter's notes, the PowerPoint slideshow for Keep the Knowledge should be adapted as required. You can add to, delete from or modify the slideshow according to the content of your training session.

Agencies may choose to use a corporate template for the presentation. Otherwise, you can use the presentation as prepared by the National Archives:

Evaluation form

Training sessions should be evaluated. There are many ways of doing this. For example, you could measure any changes to records management behaviour after the training. Or you could ask participants to complete a simple questionnaire at the end of the training session. We have prepared an evaluation form that you can use and customise:

Illustrated booklet and ready reference card

The Keep the Knowledge booklet summarises the main points of the training notes and slides. The reference card provides a handy reference for staff on when to make and keep records. If you want, you can customise the material by adding in-house rules and procedures.

Important note about copyright

The National Archives has a licence to authorise use of the cartoons created for Keep the Knowledge – Make a Record! for recordkeeping training within Australian Government agencies. If you are an Australian Government Agency please contact the Agency Service Centre and we can provide you with copies of the cartoons. If you are not a Commonwealth agency we are unable to supply the cartoons or to grant permission for you to use them.

The cartoonist, David Pope, has developed a number of other cartoons which may be of interest to you. You will need to negotiate directly with him to obtain agreement about the use of these images. Note that the National Archives does not endorse this work.
